Creating Sales Quotes from Opportunities in Dynamics Business Central

Step 1 - Select the opportunity, then click "Create Sales Quote" from the Actions column.


Step 2 - Enter the sales quote information.

The Sales Quote card prompts the user to fill in key and remaining fields in the sales quote as needed.

Details

No.

ystem does not automatically generate the sales quote based on settings.

Customer No.

Default value from the opportunity.
Note that a customer is not required when creating an opportunity, but one must exist when creating a sales quote.

Contact

Default value from the contact (if any).

Salesperson Code

Default value from the opportunity. If the value is not in the related opportunity, the user can choose from the salesperson list.

Quote Expiration Date

Enter the expiration date of the quote (if any).

Opportunity No.

If created from opportunity, then defaults from system.

Status

When the user clicks the "Post" button to release the sales quote, the status will change to "Released".

Lines Tab

Fields Details

Type

Select "Item" for items from the Item card.
If free text is entered in the description, leave it blank.

No.

If the Type is "Charge," enter the Charge No. or select from the Charge list.

Description

Default description from the Item card, user can edit in the sales quote line.

Description 2

Default description 2 from the Item card, user can edit in the sales quote line.

Quantity

Enter the quantity of the item.

Unit of Measure Code

Default unit of measure from the Item card.

Unit Price Excluding VAT

The price of the item excluding VAT.

Line Discount

Enter the line discount percentage or line discount amount (if any) for the item line.

Invoice Discount Amount

Enter the Invoice discount amount excluding VAT or Invoice discount % (if any).

3. Obtain Recurring Sales Lines

If recurring sales lines have been set up for the customer, the user can insert these lines into the order by selecting the "Get Recurring Sales Lines" action.

 

4. Copy Document

The user can choose the "Copy Document" action to copy data from an existing sales quote.
To copy a document, select the "Copy Document" action, then fill in the options and click "OK" to confirm.

5.Archive Document (i.e., versioning)

  • When printing the sales quote or document, the system defaults to archiving the document. If the user selects the preview action button, the system will not archive the document.

  • If the user needs to update the quote with a new version, the user must archive the document before making changes to the quote. To archive the document, select the action, function, Archive Document.
