Create Jobs for Billing Schedule

Step 1 - Click [Jobs] in navigation bar.

Note: if the link not included in navigation bar, click Search button then enter Jobs into search box, select Jobs - Lists.

Step 2 - Create new Job by copy from template

Select Template then choose action Process => Copy Job

*Job card it use for template must create before use the copy function. 

*If no Job Card use for template in exist, please see Basic Operation - Job (i.e. Project), section for Create Job without copy data from existing record

Select Job Tasks No. it needs to copy from the template…

Step 3 – Enter Job Information

  • Change the Description / Bill-To Customer it copied from Template or source Job card
  • Select Job, Dimensions action to enter the Project Code
  • In Tasks section, select Manage, New Line or Delete Line to add Tasks or Delete Tasks (if needs)
  • Update the Job Planning Line

For Billing Schedule -

Job Tasks 

For Billing by installment, Task No to be show on the invoice printout.  Suggest to use the text below for tasks no.

Job Planning Lines for each Job Tasks Line

fill up following data in Job Planning Lines:

    • Planning Date – enter the target billing date
    • Line Type – select Billable
    • Type – select Item
    • No – select the item no. it use for the payment
    • Description – change the description if needs
    • Quantity – enter 1
    • Unit Price – enter the amount for the payment

Step 4 –

Create Sales Invoice  

Create sales invoice for the deposit.  Select Actions, Functions, Create Sales Invoice…

Step 5 - go to

Open sales invoice for

edit

post / print the document

1) In order to attach the Project Code to AR entry, fill up the Project Code in sales invoice header.

2) For 2nd payment or after, user need to update the invoice no. in Posting No. 

For example SI21F0005 is created for 2nd payment for the project.  The invoice no. for 1st payment is SI21F0004, the posting no, for this invoice need to change to SI21F0004P2.

How to preview all the related sales invoice for the Billing Schedule (Job)

I. From Job List

Go to Job List, select the Job then select Navigate, Sales Invoices/Credit Memos

II. From Job Card

Open the Job Card, select Related, Job, Sales Invoices/Credit Memos

List of Sales Invoice/Posted Sales Invoice it related to the job to be shows.

Posted Invoice - the sales invoice created from the Job and Posted (AR entries created)

Invoice  - the sales invoice created from the Job but not posted yet 

Document No

Posted Invoice - Posted invoice no it shows on entries to be shows 

Invoice - the invoice no. to be shows.  User should enter the posting no, in the sales invoice before post.  Then the Posted Invoice No e.g. invoice no of 1st payment - no. of payment to be show after posted.

Transferred DateDate of create sales invoice from the billing schedule (JOB)
Invoiced Date

Date of the sales invoice is posted (i.e. Posting date of the Posted sales invoice.

Remarks:  If Transferred Date is exist but Invoiced Date is empty, that means the invoice is created but not posted yet.

Invoiced AmountThe amount of posted invoice (i.e. amount on G/L entries)

Create Jobs for Billing Schedule

Create sales invoice for the deposit.

Open sales invoice for post / print the document

The sales invoice can be open from Tasks or Job Planning Line

Option 1 - open from Tasks

Select the Tasks, then select Line=> Documents => Sales Invoices/Credit Memos

Option 2 - open from Job Planning Line

1) Click on Billable (Total Price) Line for the Tasks Line,

2) Click on Qty. Transferred to Invoice.

NOTE: after the invoice is posted, click Qty. Invoiced to open the posted sales invoice.

Fill up the following information in Sales Inovice before post

1) In order to attach the Project Code to AR entry, fill up the Project Code in sales invoice header.

2) Enter Invoice No. to Posting No,  For 1st deposit payment the Posting No. is same as Sales Invoice No.

For 2nd payment or afterward, user need to enter the invoice no. for 1st payment invoice + suffix for the no, of payment.

For example SI21F0005 is created for 2nd payment for the project.  The invoice no. for 1st payment is SI21F0004, the posting no, for this invoice need to change to SI21F0004P2.
